Supplier management: AI document analysis


AI document analysis - built into EVA's supplier management portal - is designed to speed up the process of onboarding suppliers.

It uses generative AI to review supplier-uploaded documents against criteria you specify, and highlights discrepancies to follow up. Here's a quick video overview.

Enabling AI document analysis

AI document analysis can enabled by document type. To get started, navigate to the Document types tab within the Suppliers menu

Create a new document type or edit an existing one, and enable AI document analysis. You'll then see some options to add default and custom conditions.

 

What criteria can be used for analysis?

Default conditions

Default conditions that can be enabled are:

  • Document type - verifies that the supplier-uploaded document matches the document type specified (eg that it is a public liability insurance certificate)
  • Expiry date - checks whether the expiry date specified matches the expiry date in the uploaded document

Custom conditions

You can also set custom checks to confirm a true/false statement, such as:

  • The total sum insured is at least $5,000,000
  • The document includes a policy number
  • The document contains all information usually found in a public liability insurance certificate

GPT will compare the document with its modelled knowledge to assess whether it meets the specified condition. 

 

What happens when a new supplier document is uploaded?

When you review an individual supplier, you can see any uploaded documents in the Documents tab. Where AI analysis has been performed, you can see the results on the document card.

 Click on the eye icon to see the details of the AI analysis. In the example below, all conditions have been met.

When your supplier uploads a new document as part of your supplier approval process, if AI analysis has been specified for that document type, they can see the outcome.

In the example below, the document has not met the conditions.

Your supplier can then click the AI button to the right, to see the details of checks performed and the outcome per condition.

In the example below, the supplier has uploaded the wrong document type, resulting in some failed checks. In each case, the reason is clearly articulated.

AI protections

Generative AI can help you be more productive, but checks and balances are needed too. Protections included in this feature:

  • ‍AI document analysis is set to off by default - it's your choice whether to enable it or not
  • AI analysis is protected so that your vendor's documents remain private. No EVA data - including supplier documents - is shared publicly with any models. 
  • AI analysis is limited to this feature. Your data remains private to you.
